As we continue our journey to become the global integrator of container logistics, we are looking for an experienced Senior Executive Assistant to provide strategic and operational support to our Global Head of Solutions

This is a unique opportunity for a highly organized, proactive, and trusted professional who thrives in a fast-paced, global environment and enjoys working closely with senior leadership. You will play a critical role in enabling the effectiveness of the Global Head of Solutions and leadership team while acting as a key point of coordination across Product, HR, Communications, and other stakeholder groups.

Key Responsibilities

Executive Support to the Global Head of Solutions

Serve as a trusted partner and strategic support to the Global Head of Solutions

  • Own and manage a complex calendar, ensuring optimal prioritization and time management.
  • Manage a high-volume inbox and ensure timely follow-up on key actions and communications.
  • Prepare presentations, briefing materials, reports, and meeting documentation.
  • Coordinate domestic and international travel arrangements.
  • Manage expenses, invoices, travel and expense management processes.
  • Organize leadership meetings, town halls, off-sites, and other executive events.
  • Capture meeting minutes, track actions, and ensure follow-through on key deliverables.
  • Act as a liaison between the Global Head of Solutions and internal stakeholders, including leadership teams, HR, Communications, and business partners.
  • Support confidential people-related matters with a high degree of discretion and professionalism.
  • Provide support on strategic initiatives, special projects, and executive priorities.

Leadership Team & Function Support

  • Support the broader Product Leadership Team on key operational and administrative activities.
  • Organize and coordinate team meetings, workshops, and leadership events.
  • Maintain and optimize Microsoft Teams, SharePoint, and collaboration sites.
  • Drive onboarding and offboarding activities for team members.
  • Support internal communications and engagement initiatives across the function.
  • Ensure smooth coordination across multiple stakeholders, geographies, and priorities.

What We're Looking For

  • Bachelor's degree in Business Administration, Management, or a related discipline preferred.
  • Minimum 6-8 years of experience supporting senior executives, ideally at VP, SVP, or C-level.
  • Proven experience in a Senior Executive Assistant, Executive Business Partner, or similar role within a complex international organization.
  • Strong project management and coordination skills.
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
  • Strong business acumen and stakeholder management capabilities.
  • Excellent written and verbal communication skills.
  • Advanced proficiency in Microsoft Outlook, PowerPoint, Excel, Teams, and SharePoint.
  • Ability to work independently, anticipate needs, and proactively solve problems.
  • High level of professionalism, confidentiality, and attention to detail.
  • Comfortable operating in a dynamic environment with shifting priorities and tight deadlines.
  • Collaborative team player with a positive and service-oriented mindset.
