About this role
The Member Service Specialist is responsible for assisting members with their immediate needs. This may include, but not limited to, giving information on the facility, security department rules and services, assisting with office clerical work.
Essential Duties and Responsibilities
- Keep and maintain good and normal functions of the Boatyard and Land storage Department using the assigned equipment
- Prepare debits and credits to client accounts as necessary
- Complete Boatyard and Land storage Agreements and Work Order forms
- Keep the supervisor informed of any situation that affects the normal function of the office
- Prepare different reports as requested by the supervisor
- Keep and maintain the integrity of the information
- Keep and maintain excellent communication and customer relationships
- Collection task for the client's monthly rent
- Resolve customer complaints by investigating problems; developing solutions; preparing reports; making recommendations to management
- Knowledge of sales regulations, customer service, client retention and office management records
- Main point of contact to assist the public, answer questions, concerns, and, information to prospective clients
- Keep accurate information in Customer Relationship Management System (CRM)
- Consistently update all CRM information
- Able to answer general questions about contracts and services
- Ensure all customers meet all requirements for PDR; including insurance documents with necessary clauses, customer information, payments, and any other required information as per the Marina Regulations
- Following up with customers after a contract is signed to ensure accurate arrival date
- Receive payment by cash, check, credit cards, vouchers, or automatic debits. Count money in cash drawers at the beginning of shifts to ensure that amounts are correct and that there is adequate change.
- Calculate total payments received during a time period and reconcile this with total sales.
- Keep periodic balance sheets of amounts and numbers of transactions.
- Answer the VHF radio
- Calculate rates and invoice
- Answer the emails received related to clients
- Available to work overtime when required
Safety and Environmental Responsibilities
- Follow SHM Safety and Environmental rules and complete required related training
- Wear proper personal protective equipment as required for the task or work area
- Report all accidents, injuries, spills and near misses immediately
Technical and Physical Requirements
- High school diploma or equivalent preferred
- Prior marina experience preferred
- Previous customer service experience preferred
- Proficient in Microsoft Office
- Ability to sit for long periods of time
- Ability to lift 20 pounds
- Fully bilingual (Spanish and English)
- Any skills considered standard that a Member Service Specialist should possess
