Lead Logistics CX & Operations – CBL Specialist

About this role

As a CBL Specialist (Carrier Bill of Lading Specialist), you will be responsible for the daily operational execution of Carrier Document Handling within the VNGSC CBL Team. Your primary focus is to validate Carrier Bills of Lading (CBL) against FCR/HBL, Shipping Instructions, and SCM system data, ensuring 100% accuracy, strict SOP compliance, and adherence to carrier cut-off timelines.

Key Responsibilities

1. Operational Execution & Document Validation (CBL Execution):

  • Carrier Document Validation: Perform daily validation of Carrier Bills of Lading (CBL) against FCR/HBL, Shipping Instructions (SI), and SCM system records to ensure data integrity and zero discrepancies.
  • System Updates & Accuracy: Execute accurate and timely data entry/updates in internal SCM platforms, ensuring seamless downstream execution for FinOps, Customs, and Destination teams. 
  • SLA & Cut-off Management: Monitor shipment status and strict carrier cut-off schedules (e.g., AME cut-offs, manifest deadlines) to prevent document release delays or financial penalties. 
  • Compliance: Strictly adhere to customer SOPs, internal IOPs, and carrier-specific compliance guidelines

2. Issue Resolution & Stakeholder Coordination:

  • First-Level Exception Handling: Proactively identify data mismatches, document delays, or carrier errors, executing prompt corrective action. 
  • Timely Escalation: Escalate critical operational roadblocks, recurring system bugs, or potential service failures to the Team Lead or CBL Manager with clear background information. 
  • Operational Liaison: Coordinate daily with Area CX, Ocean Carriers, Shippers, Vendors, and internal teams (FinOps, Hub) to resolve documentation queries

3. Continuous Improvement & Transformation Adoption:

  • Process Standardization: Maintain standard execution practices and actively participate in team knowledge-sharing sessions. 
  • Automation & Tools Utilization: Utilize digital tools, checking scripts, and Power BI dashboards to optimize personal productivity and quality. 
  • Kaizen Mindset: Contribute practical ideas to streamline daily tasks, reduce repetitive manual work, and eliminate operational waste
  • Transformation Adoption: Lead and anchor global tech implementations, Case Management/Cloud adoption, and system upgrades within the Spoke structure

Organizational Matrix & Key Interdependencies

A single incorrect system update can result in:

  • Customer Experience: Customer NPS, KCX, CSAT. 
  • Operational Quality: Document/System Accuracy Rate, Zero Revenue Leakage/Error Claims, IOP/SOP Compliance. 
  • Timeliness: SLA Adherence Rate, On-time System Update Rate, Carrier Cut-off Compliance.  Productivity: Daily/Weekly volume throughput and task completion efficiency

Key Interdependencies:

  • Direct Supervisor: CBL Team Lead / CBL Manager. 
  • Internal Stakeholders: Area CX/4PL/LCL, GSC Hub, Destination/Origin Teams, FinOps, CI Team. 
  • External Stakeholders: Ocean Carriers, NVOCCs, Shippers/Vendors

Qualification & Requirements

1. Education & Experience

  • Bachelor’s degree in Supply Chain, Logistics, International Business, Foreign Trade, or related fields. 
  • 1–3 years of working experience in Logistics, SCM, Freight Forwarding, Shipping Lines, or GSC Documentation Operations. 
  • Good operational understanding of Ocean/Carrier Documentation (CBL, FCR, HBL, SI, Manifest filings)

2. Operational Competencies & Mindset:

  • Exceptional attention to detail and high accuracy rate when handling complex data/documents. 
  • Strong problem-solving mindset with a proactive attitude toward issue resolution. 
  • Ability to work effectively under tight cut-off deadlines and handle peak-season volume fluctuations

3. Systems & Digital Skills

  • Tech-savvy mindset; quick learner on internal SCM/TMS systems and carrier portals. 
  • Good proficiency in MS Office (Excel, Outlook); exposure to Power BI, Power Automate, or automated checking tools is a strong advantage

4. Communication & Language:

  • Good written and verbal communication skills in English (working language). 
  • Clear and professional communication style when following up with internal/external stakeholders. 
  • Strong team-player attitude with a willingness to support colleagues during high-volume periods
